Human Resources Communications Specialist

PURPOSE:

To facilitate internal HR communications serving as a conduit for information to flow between departments in order to foster a culture of shared knowledge and understanding of processes, procedures, department and ministry wide goals, to better equip staff to work as a strategic and cohesive team. This position will also assist in planning and facilitating staff development and learning opportunities for the HQ staff.

SUPERVISION:

The Communications Specialist, Human Resources reports directly to the Director, Human Resources

RESPONSIBILITIES:


    • Serve as the HR representative in the investigative process of identifying an intranet platform to be used by the global RZIM offices. Research and incorporate various types of information to be housed within the intranet incorporating the holistic communication needs of the ministry while working with IT to ensure compatibility with Microsoft Outlook and other software that is needed to communicate/interface with the intranet.
    • Design, adjust, and maintain HR space on intranet to ensure usability
    • Curate content to increase awareness of HR products and services
    • Build the HR brand by creating high-quality, consolidated HR communications using strategically selected channels
    • Help develop and implement new employee orientation experience in conjunction with HR Director, and Senior HR Generalist
    • Develop and maintain process to proactively track and plan communication needs from HR to external departments
    • Plan and facilitate regular internal staff education opportunities including but not limited to: lunch-n-learn trainings, spiritual enrichment days, team building, etc.
    • Schedule, communicate, and stage monthly managers’ meetings.
    • Communicate staff additions, terminations, promotions, and position openings globally
    • Plan and organize staff celebrations such as wedding and baby showers.
    • Create, edit, maintain, and distribute global staff newsletter.
    • Other duties as assigned by the Director, Human Resources.

QUALIFICATIONS:


    • Must be in agreement with and committed to upholding RZIM’s Statement of Faith and Statement of Values, as well as its stated Mission and Vision
    • Must be proficient in Microsoft Office Suite, and be willing to learn other software currently used by RZIM (i.e. People Soft, etc.)
    • Must display good organizational skills and be motivated to follow through on responsibilities to completion.

    • Must be proactive in learning new ideas and procedures that may be required as the ministry grows.
    • Must be able to relate on a cross-cultural level as well as display good personal and interpersonal skills in the office.

    • Must be able to work well with other team members.

EDUCATION AND WORK EXPERIENCE:

    • Bachelor’s Degree or relevant experience required.
    • Prior Human Resources experience including but not limited to: benefits, communications, compensation, personnel matters, federal and state legal compliance strongly desired
    • Demonstrated experience researching, learning, and leveraging tech systems to accomplish strategic goals.

Human Resources Assistant

PURPOSE:

To support and assist the Human Resource Department with administrative processes, procedures, and programs.

SUPERVISION:

The Human Resources Assistant reports directly to the Director, Human Resources.

RESPONSIBILITIES:


    • Performs general clerical duties that include but are not limited to: typing, photocopying, faxing, mailing, filing and handling phone calls for the Human Resources Department.
    • Assist in creation of and organize employee documentation filing system in accordance with Federal and State regulations, and RZIM Human Resources guidelines.
    • Maintain personnel files and records for Human Resources Department.
    • Maintain wellness benefit records and receipts for all employees.
    • Assist with organizing and responding to general correspondence from applicants for open job positions.
    • Help to create and maintain procedure manual for Human Resources Department.
    • Maintain organization chart for Human Resources Department
    • Maintain staff directories and initiate staff birthday cards.
    • Assist with research of and compliance with retention guidelines in accordance with government and state guidelines.
    • Other duties as assigned by the Director, Human Resources.

Administrative Assistant - Corporate Services

PURPOSE:

The Corporate Services Assistant will serve as a key player in RZIM’s Facilities team. Duties will include general administrative responsibilities and support, as well as general office coordination functions. Work requires continual attention to detail, establishing priorities, and meeting deadlines. Must have sufficient knowledge of the Ministry’s structure, policies, and personnel to respond to inquiries and troubleshoot. This role is instrumental in ensuring RZIM’s work environment is positive and productive, and serves as a liaison for facilities requests. The position is part of an exciting and dynamic team environment and will have a direct impact on the Ministry’s success.

SUPERVISION:

Reports directly to the Director, Facilities & Corporate Services

RESPONSIBILITIES:


    • Serves as liaison between client base (employees) and Facilities department.
    • General administrative duties including but not limited to assisting with setting up Facilities department meetings and/or events, answering phones and emails.
    • Establishes and maintains complex calendar of events in the building and liaises with all members of the event team.
    • Works with HR and others to establish/maintain calendar of bookings for Townhomes and vehicles; ensures a specific pantry of items are fresh and available for all guests upon arrival./li>
    • Receives/distributes mail throughout department
    • Maintains and coordinates snack programs/vendors.
    • Prepares expense reports for Director Security and Department Manager.
    • Stays informed of current projects/activities in order to be proactive in offering assistance in any way requested.
    • Communicates daily with Facilities department leadership and succinctly reports any issues/concerns they should be aware of.
    • Places orders as needed and processes all invoices for payment
    • Pro-actively manages copier stations and central office supplies storage to monitor stock levels and determine items needed and when to reorder.
    • Serves as back up for Merchandizing & Book Store Manager as needed.
    • Serves as back up for Security as needed.
    • Serves on Safety Committee.
    • Assists as a Fire Warden.
    • Co-organizes staff lunches twice weekly.
    • Other duties as assigned.

QUALIFICATIONS:

Junior Associate, Information Technology

PURPOSE:

To assist RZIM's IT Department with desktop, network, and classroom support and other needs related to RZIM's information technology and audio visual systems.

SUPERVISION:

The Junior Associate, Information Technology will have a direct reporting line to the Director, Information Technology.

RESPONSIBILITIES:


    • Responsible for installation of computer accessories and basic troubleshooting of desktop equipment, networking, Internet connectivity, software and hardware integration.
    • Troubleshoot and support mobile devices.
    • Provide on-hand support for conference room presentations
    • Maintain on-hand inventory level of printer consumables for individual and networked printers, place orders for consumables as needed, and provide meter readings to printer vendor as needed.
    • Perform minor repairs to desktop and portable hardware, software and peripheral equipment following design or installation specifications.
    • Troubleshoot user technical issues and provide solutions for issues typically experienced with computer & printer equipment in a networked environment.
    • Set up work environment for employee use, performing or ensuring proper installation of cable, surge protection, desk phone and printing capability.
    • Answer user questions regarding the best operating practices of regularly used software packages such as Microsoft Office.
    • Configure and prepare new computers and equipment to documented standards and install at user locations providing instructions on best practices for equipment.
    • Activate and trouble shoot network ports at the user level and also in the IDF rooms.
    • Maintain software updates for users on a schedule and on an as needed basis for programs such as Adobe, Java, Apple and Microsoft.
    • Provide field support away from the office to include employee home office setup and troubleshooting. Dropping off hardware for repair to offsite vendors.
    • Troubleshoot network and phone cable issues.
    • Other duties as assigned by the Senior Associate or IT Director.

QUALIFICATIONS:

Events Assistant

PURPOSE:

The Events Assistant will assist in all aspects of event planning and post-event reporting.

SUPERVISION:

This position will report directly to the Events Manager.

RESPONSIBILITIES:


    • Assist with all aspects of event planning
    • Help coordinate travel and lodging for attendees and presenters traveling to meetings
    • Assist with all aspects event preparation, supplies ordering and packing/shipping of event materials
    • Involved with event set-up and tear-down
    • Communicate with volunteers prior to and during events
    • Prepare event summary for internal use by the Prayer & Resources department
    • Prepare and submit monthly expense reports
    • Submit invoices to accounting with accuracy and timeliness
    • Work under the close direction of Events Manager and Events Coordinator
    • Other duties as assigned by the Events Manager
    • Sign an annual statement of recommitment to RZIM’s Statement of Faith and Values.

QUALIFICATIONS:


    • Must be in agreement with and committed to upholding RZIM’s Statement of Faith and Statement of Values, as well as its stated Mission and Vision.
    • Have a strong desire to work in event planning with excellence
